PURPOSE OF ORGANIZATIONAL UNIT: The Administrative Office Support Unit within the Department of Social Services provides clerical support to all units within the department.  The clerical support provided by this unit includes but may not be limited to: greeting persons who arrive at the reception desk, providing information concerning the services provided by the agency, the location of those services, the right to apply for those services or programs, answering incoming phone calls, taking messages and directing calls, completing inquiries, completing logs, processing outgoing mail and incoming courier mail, opening and date stamping incoming mail, and accessing other information available from the state network, and completing numerous data entry functions.

 

 

PRIMARY PURPOSE OF THE POSITION:   This position recieves the incoming mail for the agency, serves as the Agency Cashier, maintains an Interagency Control Log of all checks and Medicaid cards returned to or received by the agency, sorts and distributes the mail to the various divisions within the agency.  This OA-III has the primary responsibility for answering and directing all incoming calls not routed by voice mail.  

 

KNOWLEDGES, SKILLS and ABILITIES:  General knowledge of office or work unit procedures, methods and practices.  

General knowledge of and ability to use correct spelling, punctuation and specialized vocabulary; Ability to proofread.  General knowledge of office accounting and record keeping procedures, mathematics and their application in the work environment. Ability to learn and apply a variety of guidelines applicable to the work process.  Ability to use a variety of office equipment. Ability to work with people with courtesy and tact in performing public contact duties.  Ability to record and compile information based on predetermined guidelines.  Ability to gather and give information and instructions regarding the work process and procedures.  Ability to learn to use specialized office equipment.  May require ability to coordinate work of other support staff, student workers or volunteers.

 

MINIMUM TRAINING AND EXPERIENCE REQUIREMENTS: Graduation from high school and demonstrated possession of knowledges, skills and abilities gained through at least one year of office assistant/secretarial experience; OR an equivalent combination of training and experience.

 

TRAINING/EXPERIENCE:  Experience with Windows and Excel preferred.

ADDITIONAL REQUIREMENTS:   Must have NC Driver’s license and access to a vehicle.
