Secretary II – PT (One day per week)

 

General Description of Position

 

 The purpose of the class is to provide general and specialized clerical support for an assigned department.  The class is responsible for serving as receptionist, serving customers, answering phones, maintaining files, preparing correspondence, data entry, managing office functions, and other office tasks.  The Class works within a general outline of work to be performed develops work methods and sequences under general supervision.

 

ESSENTIAL TASKS

 

An employee in this position performs a variety of secretarial, public information, and selected administrative duties to support the Veterans Service Office. 

 

Performs a variety of keyboard tasks from rough drafts, notes and oral instructions, such as typing memos, letters, newsletters, meeting minutes, etc.

 

Functions as office receptionist, greeting office visitors, receiving inquiries in person or by telephone.

 

Making appointments.

 

Maintains office filing system; sorts, grades, files, and/or retrieves office documentation.

 

Establishes new files, as directed.

 

Maintains supplies for office, as directed.

 

Prepares and processes incoming and outgoing mail.

 

Management may assign additional tasks related to the type of work of the class as necessary.

 

Requirements:  Computer - Word processing skills (WORD), web management, spreadsheets (EXCEL), computer skills, database utilization; pleasant personality and willingness to work as part of a team. Should be able to type 40 correct words per minute.

 

Communication Skills - Should possess good verbal and interpersonal skills so that they may be effective in interacting with Veterans Services clientele.

 

Education/Experience - Required – High school graduation or high school equivalency certificate; and office experience.

Preferred – 2 year degree or evidence of knowledge, skills and abilities that are required for the job; Veterans’ benefits experience.

 

Salary: $9.65 per hour
