PRIMARY PURPOSE OF ORGANIZATIONAL UNIT:  The Administrative Clerical Support Unit provides clerical support to all units within the Department of Social Services.  The clerical support provided by this unit includes but is not limited to: greeting persons arriving at the reception desk, providing information concerning the services provided by the agency, the location of those services, the right to apply for those services or programs, answering incoming phone calls, taking messages and directing calls, completing computer inquiries, completing logs, typing, filing, setting up case files, processing outgoing and courier mail, ordering and stocking forms used by the staff of DSS, monitoring supplies, pulling a variety of reports from the state network and completing numerous data entry functions.


PRIMARY PURPOSE OF THE POSITION:  The Processing Assistant III (PA-III) in this position is currently stationed on First Floor and performs support duties for the Economic Services Programs located on this floor.  This PA-III performs receptionist functions for the staff on this floor, which includes notifying staff of the arrival of customers and monitors customer activity in the waiting area.  This position deals with a high volume of customers on a daily basis.  Additional duties include typing letters, forms and Medicaid cards, processing outgoing and courier mail, logging Health Choice applications, completing Estate Recovery information for Adult Medicaid Program, gathering demographic information for customers and entering this information into the Once Case case management system.  Inquiry and reception functions are performed on a daily basis, necessary copies are made and many customer concerns are met by this PA-III.


KNOWLEDGES, SKILLS and ABILITIES:  General knowledge of office work unit procedures, methods and practices.  General knowledge of and ability to use correct spelling, punctuation and specialized vocabulary; ability to proofread.  General knowledge of office accounting and record keeping procedures, mathematics and their application in the work environment.  Ability to learn and apply a variety of guidelines.  Ability to use a variety of office equipment.  Ability to work with people with courtesy and tact.  Ability to screen communications based on predetermined guidelines to independently respond or route inquiries.  Ability to record and compile information based on general guidelines.  Ability to gather and give information and instructions regarding the work process or procedures.  Ability to balance and reconcile figures.  May require ability to coordinate work of other support staff, student workers or volunteers.  Ability to learn to use specialized office equipment.


MINIMUM TRAINING AND EXPERIENCE REQUIREMENTS:  Graduation from high school and demonstrated possession of knowledges, skills and abilities gained through at least one year of office assistant/secretarial experience; OR an equivalent combination of training and experience.


TRAINING/EXPERIENCE:  Experience with windows and excel preferred.


ADDITIONAL REQUIREMENTS: Must submit official college transcripts (if applicable.)  Must have NC Driver’s license and access to a vehicle.  Current DMV record must show no more than 3 points on license.
