PRIMARY PURPOSE OF ORGANIZATIONAL UNIT: The Office Support-Administration Unit provides clerical support to all units within the Department of Social Services.  The clerical support provided by this unit includes but is not limited to: greeting persons arriving at the Central Reception Area, providing information concerning the services provided by the agency, the location of those services, the right to apply for said services or program, answering all incoming phone calls, directing calls, completing computer inquiries, completing daily logs, processing outgoing and courier mail, opening and date stamping incoming mail and accessing other information that is required to assist those who are inquiring about services.  This position also completes a number of data entry functions.

 

PRIMARY PURPOSE OF THE POSITION:  This worker performs the initial receptionist function for all persons entering the Department of Social Services.  This position greets all clients and visitors and makes the initial assessment of services requested by those entering the agency.  Clients and visitors are given information and directions to other areas of the agency as dictated by their needs or requests by the employee in this position.  This employee will receive and date stamp information that is left by clients for the various programs within the agency.  This employee shares the responsibility for issuing work permits for those under eighteen (18) years of age and wishing to work.  Additional responsibilities include assisting with incoming phone calls.

 

KNOWLEDGES, SKILLS and ABILITIES:  General knowledge of office or work unit procedures, methods and practices.  General knowledge of and ability to use correct spelling, punctuation and specialized vocabulary; ability to proofread.  General knowledge of office accounting and record keeping procedures, mathematics and their application in the work environment.  Ability to learn and apply a variety of guidelines applicable to the work process.  Ability to use a variety of office equipment.  Ability to work with people with courtesy and tact in performing public contact duties.  Ability to record and compile information based on general guidelines.  Ability to balance and reconcile figures.  Ability to screen communications based on predetermined guidelines.  Ability to gather and give information and instructions regarding the work process and procedures.  Ability to learn to use specialized office equipment.  May require ability to coordinate work of other support staff, student workers or volunteers. 

 

MINIMUM TRAINING AND EXPERIENCE REQUIREMENTS: Graduation from high school and demonstrated possession of knowledges, skills and abilities gained through at least one year of office assistant/secretarial experience; OR an equivalent combination of training and experience.

 

TRAINING/EXPERIENCE:  Experience with Windows and Excel preferred.

 

ADDITIONAL REQUIREMENTS:   Must have NC Driver’s license and access to a vehicle.  Applicant must have a clean driving record with no more than three points on DMV record.
